
DMS Document Management System
Onsite’s construction-specific Document Management System allows you to experience the power of Artificial Intelligence when coupled with real on-site experience. Using fully-customizable user-friendly interfaces and an extensive project setup and administration tools, Onsite DMS includes document numbering formats management, advanced BPM, digitization of forms, Outlook-like mailing capabilities, transmittals, submittals, RFI's, NCR's, scheduling, tasks, notifications and much more accessible through web and our own mobile application (IOS and Android)
Why DMS
Document Management
Using this module, you can manage all your project’s documents: specify document numbering format(s) per document type, upload, upload in bulk, classify, tag, supersede versions, mark as confidential, download, view history, view, preview, review, search, advanced search, save searches, set as temporary file, add personal markup, compare document revisions, mark as favorite, mark for handover, specify relationships between documents, and generate/export reports. Our system supports all file types for viewing, markups, running review workflows, etc including RVT, DWG, PDF, … and maintains a full audit trail (including a Recycle Bin) so that no transaction is ever lost. You can also set your own custom meta tags for Documents per project and copy the setup to any new project later on. Also includes: Directory Sub-Module: search for users and contacts per project. Folders Sub-Module: classify documents under a simple folder hierarchy (optional).
Drawings
Using this module, you can manage all your project’s Drawings: specify document numbering format(s) per drawing type, upload, upload in bulk, classify, tag, supersede versions, mark as confidential, download, view history, view, preview, review, search, advanced search, save searches, set as temporary drawing file, add personal markups, compare document revisions, mark as favorite, mark for handover, specify relationships between drawings, and generate/export reports. Organize your drawings based your own folders hierarchy or tags. Our system supports all file types for viewing, markups, running review workflows, etc including RVT, DWG, PDF, … and maintains a full audit trail (including a Recycle Bin) so that no transaction is ever lost.
Allows users and organizations working on the same project to communicate in a private setup. Exchange simple messages with attachments (similar to email), create your own forms and use them seamlessly within this module. Transmit documents by digitizing your own form using the built-in form builder or use the built-in default form. Transmitted forms follow the Document Register logic. (check Digitization of Forms section below) Services include: create mail, reply/to all, forward, save as draft, attach (file, document from register, and mail, Dropbox/Drive…), set mail signature, set mail templates, form builder, search, advanced search, save searches, notifications, request read receipt, set mail response required, mailing groups, schedule mail sending, mark as read/unread, register incoming mail, and generate reports.
Digitization of Forms
Transform any hardcopy form (Transmittal, WIR, RFI, …) you use into a digital one in minutes using our built-in Forms Builder tool. Communicate Forms using the Mail module, setup response types, and attach from relevant documents and files. Report on the data entered in these digitized forms. Run a workflow (business process) to complete the filling of all the fields in the form and get the digital signatures of the personnel involved in each step.
Workflows
Setup your own workflow templates (any business process) and use them throughout your project. Review documents (markups, comments, approval process, …) and complete forms using this module to enable full digital transformation at your company and in the projects you are involved in. Setup your workflows once and use them infinitely with the ability to copy them from one project to another seamlessly. Onsite DMS workflows setup is visually driven and very user-friendly (flowchart with steps and settings). You can loop-back to a previous step, set several paths based on participants input or simply conditions. Each workflow can include one or more forms to be filled (in part or whole) by different participants at different steps and based on different conditions.
Submittals
Request and send submittals (list of documents with weight of completion for each) to any person involved in the project (user or not). Simple interface with simple reporting, notifications, and approval system.
Scheduling
Upload your MPP, P6, or CSV formatted Project Plan/Schedule per project or organization to assign tasks directly to resources.
